Criteria and method

Page last reviewed

This page explains how the suppliers in the UK edition are found and assessed. The method comes first, then the requirements for facts, and then, for each category, the criteria, the search frame, the sources searched and the known gaps.

The search frame is locked before the assessment

For each category, I decide in advance which sources will be searched and which rule decides who is included. The frame is locked before I look at the candidates. If it changes later, the category gets a new version and a line in the changelog.

Only companies are listed; the privacy policy explains which company forms count. The company form and the company number are read from the supplier’s own website.

The overview includes the suppliers that meet the rule and are found through the sources in the frame. It is not exhaustive, and the known gaps are listed under each category. Web searches and other search tools are used only to find candidates, never as the source of a fact.

Every candidate gets an outcome and a reason, including those that are not published. Suppliers in the same category are assessed on the same criteria. If a fact is missing, the table shows it as missing. By default, the order is by the number of published facts, most first, and alphabetical on a tie. The count says nothing about quality, and there are no scores.

Where the facts come from

Who a fact comes from and how well it is supported are two different questions, and the labels keep them apart. A fact from the supplier keeps the label «Provided by the vendor» even when something else supports it; it then also gets «Independently corroborated». Before a fact is published, a separate check fetches the source again. If the source does not contain the fact, or cannot be fetched, the fact is not published.

Legal requirements and rules from authorities are taken only from official sources, such as legislation.gov.uk and the pages of the authorities themselves. Regulatory status is quoted from the official record as it states it, not from the manufacturer’s marketing. A missing record is shown as a gap in the research, not as a finding about the product.

Prices

All prices are in pounds sterling (GBP), as the source states them. A price is shown in one of three ways:

  • with the amount, the date it was checked, and what the source says is included. VAT is shown as «ex VAT» or «inc VAT» only when the source states it; it is never assumed;
  • «Price on request (stated by the supplier)», only when the supplier itself says the price is given on request;
  • if no public price was found, the page says «Base price: no public price found as of» followed by the date of the search. The search is described with the date and the pages that were searched.

The guide does not add prices together and does not guess the billing period. The base price, price per additional user, add-ons and fees are shown separately, as the source states them. Prices behind a log-in or in account pricing are not public and are not shown. In categories with consumables, item prices are not compared.

How many facts are published

Each row in the comparisons shows a badge such as «12 of 15 facts published». The number is how many of the fields below are published for that offering. The badge counts published information, not quality.

The default order is by the number of published facts (most first), then alphabetical. The number counts only which fixed facts the supplier has made public, the same for everyone. It is not an assessment of quality. Alphabetical order is always one click away, under «Alphabetical (A–Z)». No supplier pays for position or coverage. That also applies to offerings Dental Markedsføring owns or has an interest in. They are counted on the same fields as everyone else.

The fields that are counted

  • Price. Counts when the offering has a public price. «Price on request» and «no public price found» do not count.
  • Integrations. Counts when at least one integration is named in the structured data. An empty list does not count.
  • Production country. Applies to dental labs. Counts when the production country is stated. «Production country not stated» does not count.
  • UK seller. Applies to implant systems, clear aligners, dental chairs and intraoral scanners. Counts when at least one seller in the UK is named. «No UK seller found» does not count.
  • Criteria for the category. Each criterion that applies to the offering's category and offering type is one field. It counts when the value has a source. A gap does not count. Contract length and cancellation, and where data is processed, are such criteria where they apply to the category.

Fields that do not apply to the category or the offering type are not part of the number. Within one table, the list is the same for every row. The list for each category is shown under the category.

Requirements for facts

  • Every published fact and price has a source, a date and its own source check.
  • Prices older than 180 days and other facts older than 365 days must be checked again.
  • «No public price found» is published only when the search is described and repeated by a second check.
  • Candidates get an outcome: included, excluded, could not be verified, deferred, with a reason (meets the inclusion rule, outside the category, not available in the market, cannot be published with minimal fields, documentation too weak, the source could not be reached, research not finished).

Setting up a practice

Version 2.5, 20 October 2026

Criteria

  • Practice management software the provider states it runs or supports (applies to it support)
  • On-site and remote support (applies to it support)
  • Stated response time and support hours (applies to it support)
  • Minimum term and cancellation (applies to website and marketing, it support)
  • NHS and CQC-related IT set-up for the practice (applies to it support)
  • Backup, data processing agreement and information security (applies to it support)

Who is included: The overview lists the choices a new, acquired or refurbished dental practice in the United Kingdom makes, with links to the category pages; registrations and contracts are described only with an official source. The IT support comparison includes IT providers with a documented offer to dental practices in the UK (support for UK practice management software, NHS-related IT set-up, or dentistry named in public material), with public service information. General IT providers with no documented dental offer are not included. Regional coverage is stated in the on-site support value as the source states it. Only companies are listed: limited companies (Ltd), PLCs, CICs and other companies, including foreign companies and their UK subsidiaries or branches, and LLPs with a neutral brand name. Sole traders (also when trading as a brand), ordinary and Scottish partnerships, limited partnerships, LLPs with a person's name and companies carrying a person's full name are excluded without being named. The company form and company number are read only from the supplier's own footer, terms or privacy page; a supplier that states neither there is excluded without being named, and no people are recorded for included companies. Many small IT providers are sole traders and are then excluded. Not included: compliance software for CQC documentation, and website and marketing services (not published in the UK edition).

Searched:

  • Official sources on setting up a practice: CQC, NHSBSA, HMRC, the ICO, GOV.UK and legislation.gov.uk (only rows in the guide's list of official sources, quoted with date) (official source)
  • Public IT partner pages of the practice management systems in the UK guide (supplier source)
  • British Dental Association and UK trade press (names to check only; never a source) (industry source)
  • Web searches in British English, for example «dental it support uk», «it support for dental practices» and «dspt dental» (only to find candidates, never as a source) (discovery only)
  • Candidates' own public pages: company form and company number first (footer, terms or privacy page), then service, pricing and terms pages (supplier source)

Known gaps

  • Several official pages (NHS England on dental contracts, the NHSBSA page on the paper FP17 phase-out and NHS England Digital on electronic prescriptions) were blocked or returned no text, so the overview says little about NHS contracts.
  • IRR17, IR(ME)R, HTM 01-05, the DSPT, DCB0129/DCB0160, the current NHS dental contract and the rules in Scotland, Wales and Northern Ireland have not been fetched.
  • Rules for advertising dental treatment (GDC guidance, the CAP Code for health services) have not been fetched.
  • Many IT providers are small; those that are not companies under the companies-only rule are excluded without being named.

  • Regulatory status
  • Electronic NHS claims (FP17/FP17O) and the UK nations covered
  • Mixed NHS and private courses of treatment, NHS charge bands and patient charges
  • Support for the practice's Data Security and Protection Toolkit (vendor statement)

Search frame

Who is included: Dental practice management software with a clinical patient record (charting, treatment plans, clinical notes) made for dental practices and offered to private or mixed NHS and private practices in the United Kingdom, with public product information. The vendor's own pages must show an English page aimed at UK practices and at least one UK condition: NHS claims through NHSBSA or the equivalent in Scotland or Northern Ireland, a UK company or UK reseller, prices in GBP, data stored in the UK or documented UK use; an English page aimed at another market is not enough. A system offered in only one UK nation is included, with the limit stated in the value; there are no pages or values per nation or region. Cloud and server editions sold separately under one brand are separate offerings. Not included: software that only does imaging, booking, patient communication, compliance (CQC documentation) or NHS claims without a patient record, and systems used only in community or hospital dental services through procurement.

Searched:

  • NHSBSA: FP17 claims through Compass or EDI software (background for NHS claims; no list of systems) (official source)
  • British Dental Association and UK trade press (names to check only; never a source) (industry source)
  • Web searches in British English, for example «dental practice management software uk», «nhs dental software», «cloud dental software» and «fp17 software» (only to find candidates, never as a source) (discovery only)
  • Software directories such as Capterra, G2 and Software Advice (names only; ratings and reviews never used) (discovery only)
  • Public partner and integration lists of UK booking, communication, imaging and payment vendors (no login) (supplier source)
  • Practice management systems in the Norwegian, Swedish, Danish and US guides that also state a UK offer (re-checked from UK pages) (research lead)
  • Candidates' own public pages: company form and company number first (footer, terms or privacy page), then product, pricing, terms, security and DSPT, data processing and help pages without a login (supplier source)

Known gaps

  • There is no read public list of practice management software for UK dental practices; NHSBSA's list of certified systems has not been fetched.
  • The NHSBSA page on the phase-out of paper FP17s, NHS England's dentistry pages and NHS England Digital's EPS page were blocked or returned no text, so nothing is said about whether electronic submission or e-prescribing is required.
  • No official source on NHS claims in Scotland or Northern Ireland has been read; NHS claims values show only what the vendor states.
  • The DSPT, DCB0129/DCB0160 and the NHS dental charges rules have not been fetched; DSPT support and mixed NHS and private work show vendor statements only.
  • Market shares are not given, and prices are rarely public.
  • Help pages behind a login are not used, and directory ratings are never used.
  • Suppliers that state no company form and company number on their own pages, and sole traders and partnerships, are excluded without being named, so some real suppliers are missing for that reason.

Who is included: One entry per model: a dental chair or treatment unit (patient chair with instrument delivery and assistant element), or a mobile unit, from an identified manufacturer, where public documentation shows that UK dental practices can buy the model (a UK seller or distributor, the manufacturer's own UK sales, or documented delivery to the UK), and a public product source for the model exists (a UK product page, brochure or product sheet). Manufacturer, model and UK seller are shown separately. A patient chair sold without a unit is included when the source shows it is sold to dental practices. Only UK pages count: a page for another country, or «Europe» or «worldwide» without the UK named, does not document UK sales, and an Irish page alone is not enough. Local dealers found in a «find a dealer» list are evidence that a model is sold in the UK but are never named as sellers unless they are themselves included under the companies-only rule. Only documented properties are compared; ergonomics, durability and clinical quality are not assessed. This applies to manufacturers and UK sellers alike; a UK seller that is not such a company is never recorded, and if it is the only evidence of UK sales, the product is not listed unless the manufacturer itself documents UK sales. Not included: used and refurbished units alone, operator and assistant stools alone, loose instruments and handpieces, and standalone X-ray and cameras.

Searched:

  • Manufacturers' own UK product pages, brochures and product sheets, and their UK «find a dealer» pages (as evidence of UK sales only) (manufacturer source)
  • UK sellers' and service providers' own pages for the model (equipment catalogue, installation and service pages) (supplier source)
  • MHRA: Register medical devices to place on the market (official source)
  • MHRA: Regulating medical devices in the UK (official source)
  • MHRA Public Access Registration Database (PARD): exact look-ups of a manufacturer already included, company fields only; never a broad search (official register)
  • EUDAMED, public actor and device modules (actor name, SRN and role only; never contact persons) (official register)
  • Manufacturers' technical documentation: instructions for use, installation requirements and waterline treatment documentation (technical document)
  • British Dental Industry Association member list and UK dental trade show exhibitor lists (company names only; names to check, not fetched yet) (industry source)
  • Web searches in British English, for example «dental chair», «dental chairs uk», «dental chair manufacturers» and «dental unit» (only to find candidates, never as a source) (discovery only)
  • Manufacturers in the Norwegian, Swedish, Danish and US guides that also state a UK offer (re-checked from UK pages) (research lead)

Known gaps

  • There is no read public register of which dental chairs and units are sold in the UK; MHRA PARD has not been read, and EUDAMED shows the manufacturer, not sales per country.
  • MHRA PARD look-ups have not been captured yet, so MHRA registration is shown as missing until they are.
  • Most sellers give prices only on request; most base prices are not public.
  • The same model can be configured in many ways; the table shows what the source says exists, not what a given practice gets.
  • Installation requirements (plant room, drains, compressed air, waterline treatment) depend on the premises and are not assessed; X-ray rules, HTM 01-05, electrical safety and pressure systems have not been researched.
  • Local dealers are not listed; small UK engineering firms with personal forms are excluded under the companies-only rule.
  • PDF sources (instructions for use, catalogues, spec sheets) that could not be read count as unreachable.

Who is included: An intraoral scanner (a handpiece with software for digital impressions, wired or wireless, on a cart or connected to a laptop) from an identified manufacturer, where public documentation shows that UK dental practices can buy or lease the model (a UK reseller or distributor, the manufacturer's own UK sales, or documented delivery to the UK), and a public product source for the model exists. One entry per model, with manufacturer, model and UK seller shown separately. The UK must be named explicitly: «Europe», «worldwide» or a global English page alone does not document UK sales, and a model with no screened UK seller is not listed until one is documented. The base price is the practice's price for the model from the UK seller, with what it includes (computer, licence, installation, training, VAT) where the source says so. Only documented properties are compared; accuracy, scanning speed and clinical quality are not assessed. • UK sellers' and service providers' own pages: product page, price list, terms and service agreement (supplier source)

Known gaps

  • There is no read public register of which intraoral scanners are sold in the UK; MHRA PARD has not been read, and EUDAMED does not show the countries of sale.
  • Some models are not listed because no UK seller that meets the companies-only rule has been documented yet, and some manufacturers' UK pages could not be fetched.
  • Most sellers give prices only on request, so most base prices are «no public price found» or price on request.
  • Licence and subscription terms change often and are not always public; the table shows what the source said on the date it was checked.
  • Which file formats a given laboratory accepts depends on the laboratory and is not assessed here.
  • Accuracy, scanning speed and clinical quality are not assessed, and claims about them are left out.
  • PDF sources (instructions for use, catalogues, spec sheets) that could not be read count as unreachable.

Who is included: One entry per implant system, identified by the legal manufacturer and the system name. A system is included when the manufacturer or a UK seller documents that it is available to dental practices in the United Kingdom (a UK seller, the manufacturer's UK sales company or documented delivery to the UK), and a public product source for the system exists (a UK product page, catalogue or instructions for use). The UK seller is shown separately from the manufacturer, with its role as the source states it. Regulatory status is shown only as the manufacturer's statement with independent support (its own document, EUDAMED or an exact MHRA look-up); missing documentation is shown as a gap, not a reason to exclude. Only regulatory status and documented specifications are compared; clinical performance is not assessed. This applies to manufacturers and UK sellers alike; a UK seller that is not such a company is never recorded, and if it is the only evidence of UK sales, the product is not listed unless the manufacturer itself documents UK sales. Not included: orthodontic anchorage screws and mini-implants for orthodontics, bone grafts and membranes, surgical motors and imaging equipment, planning software alone, systems the manufacturer lists as discontinued, component makers without their own system, and systems with no source for availability in the UK.

Known gaps

  • There is no UK public list of implant systems on the market; EUDAMED does not show the countries where a system is sold.
  • MHRA PARD look-ups have not been captured yet, so MHRA registration is shown as missing until they are.
  • Some manufacturers' websites blocked automated fetching; their systems are missing until their UK pages can be read.
  • Local sales representatives are not shown.
  • Course coverage depends on public calendars; courses run by third parties (study clubs, universities) are not searched.
  • Third-party compatible components are not included in this version, and clinical documentation is not assessed.

Who is included: Suppliers that sell, install, service or finance practice equipment (treatment units, scanners, X-ray and CBCT, autoclaves and washer-disinfectors, compressors and suction) for dental practices in the United Kingdom, with public information about the UK offer. Geographic coverage (the whole UK, Great Britain or regions) is stated in the service coverage value as the source states it; there are no pages per nation or region. A general equipment or finance business is included only when its own pages document a UK offer to dental practices; finance and leasing companies are shown only under the seller's own finance offer, not as listings of their own. Small service businesses and dental engineers are often sole traders and are then excluded. Not included: suppliers with no UK offer, and sales of used equipment alone without servicing.

Searched:

  • MHRA: registration and regulation of medical devices (background for equipment sold; nothing about servicing) (official source)
  • Manufacturers' UK pages and lists of authorised UK dealers and service centres (manufacturer source)

  • Candidates' own public pages: company form and company number first (footer, terms or privacy page), then product, service, service agreement, finance, terms and the FCA statement in the footer (supplier source)

Known gaps

  • IRR17, IR(ME)R and HSE/UKHSA guidance for dental X-ray have not been fetched; radiation documentation shows only the supplier's statement, and CBCT rules are not covered.
  • HTM 01-05 (decontamination) has not been fetched; sterilisation validation shows only the supplier's statement.
  • The FCA register is not yet an official source row; FCA authorisation shows the supplier's own statement until it is added.
  • There is no public list of dental equipment service companies in the UK; small service businesses with personal forms are excluded under the companies-only rule.
  • Electrical safety and pressure systems rules have not been researched and are not criteria.

Who is included: The main table lists laboratories whose delivery to the UK is confirmed: a source that can be fetched says the laboratory delivers to the United Kingdom or UK practices, that the seller is a UK company offering the work to UK practices, or that the laboratory has an offer aimed at the UK with UK delivery terms or prices in GBP. A separate section lists laboratories with concrete signs of a UK offer but no confirmed delivery; «worldwide», «Europe» or an English page alone is not enough. Laboratories abroad are assessed on the same criteria, with production country and seller location recorded; MHRA registration as a manufacturer of custom-made devices is recorded only as the source states it. A laboratory that delivers to only one nation or region states it in the delivery value; there are no pages per nation or region. A laboratory whose search result or domain shows a person's name or a personal form is not fetched at all. Not included: milling centres without dental laboratory services to practices, and businesses that supply patients directly.

Known gaps

  • MHRA PARD has not been read; until exact look-ups are captured, MHRA registration shows the laboratory's own statement.
  • The UK Medical Devices Regulations 2002 (the statement for custom-made devices) have not been fetched.
  • There is no usable public list of dental laboratories in the UK and no reference for market size.
  • Dental technicians register with the GDC as individuals, and many UK laboratories are sole traders, partnerships or named after their owner; they are excluded under the companies-only rule, so the guide shows only part of the market.
  • The DLA member list has not been fetched.
  • Delivery to the UK and its cost for laboratories abroad are often unconfirmed or not found; customs and VAT on imports are not assessed.

Who is included: Wholesalers, distributors, catalogue and online shops, importers and manufacturers with their own sales that sell consumables, materials, instruments and/or equipment directly to dental practices in the United Kingdom, with public documentation of the offer to UK practices (a UK online shop or catalogue, UK terms of sale or delivery in the UK) and a public description of the range. The entry is always the company that sells to the practice; manufacturers that sell only through distributors are shown under represented manufacturers, with the role as the source states it. A supplier delivering to the whole UK or to Great Britain is included, with any limits (for example Northern Ireland or the Scottish islands) stated in the delivery terms; there are no pages per nation or region and no branch lists. A general medical supplier is included only when its own pages document a UK offer to dental practices. Not included: sales to consumers only, equipment sales, leasing or servicing only (own category), dental laboratories and suppliers to laboratories only, businesses that only sell implant systems or aligners (own subguides), software, buying groups that do not sell themselves, manufacturers without their own sales to UK practices, and marketplaces where third parties sell.

Searched:

  • British Dental Industry Association member list and UK dental trade show exhibitor lists (company names only; names to check, not fetched yet) (industry source)
  • Manufacturers' own «where to buy» and authorised distributor pages for the UK (manufacturer source)
  • MHRA: registration and regulation of medical devices (background only; no claim about distributors) (official source)
  • Web searches in British English, for example «dental suppliers uk», «dental wholesalers uk», «dental supply companies uk» and «online dental supplies» (only to find candidates, never as a source) (discovery only)
  • Suppliers in the Norwegian, Swedish, Danish and US guides that state a UK offer, and sellers named in the UK implant, aligner, chair and scanner research (names only; re-checked from UK pages) (research lead)
  • Candidates' own public pages: company form and company number first (footer, terms or privacy page), then range, online shop, terms of sale, delivery and returns, and service pages (supplier source)

Known gaps

  • There is no official list of dental suppliers in the UK; candidates come from trade lists, manufacturers' pages and web searches.
  • The BDIA member list and trade show exhibitor lists have not been fetched; they are used only to find names.
  • Whether distributors of medical devices must register with the MHRA has not been read; nothing is said about it.
  • Negotiated prices are behind a login and are not shown; UK practices often buy at negotiated prices.
  • Buying groups are not covered, and third-party compatible components are not included in this version.
  • Small online shops run as sole traders or partnerships are excluded under the companies-only rule, so coverage is smaller than the market.
  • Terms of sale and delivery change without notice; the date per source applies.

  • Refinements included
  • Remote patient monitoring
  • App for the patient
  • Patient can see the planned result digitally
  • Replacement aligners under guarantee
  • Free treatment proposal
  • CBCT integration in planning

Who is included: A system of removable, transparent trays for orthodontic treatment (clear aligners) that a dentist or orthodontist orders for a patient, from an identified manufacturer, where a source that can be fetched documents that UK dental practices can order the system (a UK seller, distributor or laboratory, the manufacturer's own UK sales, or documented delivery to the UK), and a public product source aimed at providers exists. «Europe», «worldwide» or «UK and Ireland» without the UK offer described is not documented access. Missing regulatory documentation in public sources is not a reason to exclude; it is shown as a gap. This applies to manufacturers and UK sellers alike; a UK seller that is not such a company is never recorded, and if it is the only evidence of UK sales, the product is not listed unless the manufacturer itself documents UK sales. A business presented through a named person on its own pages is not listed. Not included: aligners sold directly to patients without the practice ordering, planning or design software alone, resins, printers and thermoforming equipment for in-house production, retainers, whitening, bite and snoring splints alone, fixed braces and other orthodontic appliances, and systems with no documented access for UK practices.

Searched:

  • Manufacturers' own pages for UK providers («become a provider», certification, terms, price lists and ordering), the most widely documented systems first (manufacturer source)
  • UK sellers', distributors' and laboratories' own product and ordering pages (supplier source)
  • MHRA: registration and regulation of medical devices (background only) (official source)
  • EUDAMED, public part, and the manufacturer's declaration of conformity where it is public (never contact persons) (official register)
  • Manufacturers' technical documentation: instructions for use, product sheets and lists of approved intraoral scanners and file formats (technical document)
  • UK course calendars of the manufacturer or UK seller (topic, place and price; course leaders never named) (supplier source)
  • British Dental Industry Association member list and UK dental trade show exhibitor lists (company names only; names to check, not fetched yet) (industry source)
  • Web searches in British English, for example «clear aligner brands», «clear aligner companies uk» and «aligner systems for dentists» (only to find candidates, never as a source) (discovery only)
  • Aligner systems in the Norwegian, Swedish, Danish and US guides that also state a UK offer (re-checked from UK pages) (research lead)

Known gaps

  • There is no read public register of which aligner systems are sold in the UK; MHRA PARD has not been read, and EUDAMED does not show the countries of sale.
  • Several manufacturers keep provider pages and price lists behind a login, so most base prices are not found or given on request.
  • Some manufacturers' websites blocked automated fetching; then a system is listed only where another source documents UK access.
  • Aligners are often custom-made devices without a registration per system; the UK Medical Devices Regulations 2002 have not been fetched.
  • Small laboratory systems run as sole traders or partnerships are excluded under the companies-only rule.
  • In-house production in the practice is not included in this version, and clinical documentation is not assessed.
  • PDF sources (instructions for use, catalogues, spec sheets) that could not be read count as unreachable.

  • Text message appointment reminders
  • Patient can confirm the appointment
  • Digital medical history form before the visit
  • Mobile check-in
  • Accepts bookings from outside portals

Who is included: A solution that lets patients book or request an appointment at a dental practice online, in real time or as a request the practice confirms, standalone or built into a practice management system, sold to many practices as a product, with public product information and a UK offer: an English page aimed at UK practices with at least one UK condition (integration with a practice management system in the UK guide, a UK company, prices in GBP or documented UK use). Booking built into practice management software is a separate offering on the same criteria. A directory or marketplace where patients choose between practices is not listed as such; when the same company sells practices a booking tool for their own website or system, only that product is assessed. Not included: general calendar tools with no dental or health offer, phone booking and AI reception (own category), chatbots that only collect enquiries, reminders without booking (own category), contact forms without a choice of time, single practices' own forms, and NHS services for finding a dentist.

Searched:

  • Public booking and integration pages of the practice management systems in the UK guide (no login) (supplier source)
  • Booking tools' own public integration and partner lists (supplier source)
  • British Dental Association and UK trade press (names to check only; never a source) (industry source)
  • Web searches in British English, for example «dental appointment booking software», «dental online booking» and «online booking for dentists» (only to find candidates, never as a source) (discovery only)
  • Software directories such as Capterra, G2 and Software Advice (names only; ratings and reviews never used) (discovery only)
  • Booking tools in the Norwegian, Swedish, Danish and US guides that also state a UK offer (re-checked from UK pages) (research lead)
  • Candidates' own public pages: company form and company number first (footer, terms or privacy page), then product, pricing, terms, data processing and help pages without a login (supplier source)

Known gaps

  • There is no public list of booking solutions for UK dental practices; coverage rests on practice management systems' integration lists, vendor pages and discovery.
  • Most integration claims come from one side and are not independently corroborated.
  • Real-time booking versus requests, patient login, deposits and data storage are rarely described publicly.
  • Patient marketplaces are not listed.
  • Prices for booking built into practice software are rarely stated separately; one vendor's pricing page could not be read unambiguously and its price is left out until it is checked by hand.
  • Suppliers that state no company form and company number on their own pages, and sole traders and partnerships, are excluded without being named, so some real suppliers are missing for that reason.

Patient communication

Who is included: Tools that send appointment reminders, recalls or other messages from the practice to patients (text message, email, app or voice), standalone, as a module in a practice management system in the UK guide or in a booking tool in the UK guide, with public product information and a UK offer: an English page aimed at UK practices with at least one UK condition (integration with UK practice software, a UK company, prices in GBP or documented UK use). Only companies are listed: limited companies (Ltd), PLCs, CICs and other companies, including foreign companies and their UK subsidiaries or branches, and LLPs with a neutral brand name. Searched:

  • Candidates' own public pages: company form and company number first (footer, terms or privacy page), then product, pricing, terms, data processing agreement and sub-processor lists (supplier source)

Known gaps

  • There is no public list of patient communication tools in the UK.
  • PECR reg. 2 (definitions) and the ICO's direct marketing guidance have not been read; consent handling shows only the vendor's description, with reg. 22 as the only legal source.
  • Whether NHS contracts or record-keeping rules require messages to patients to be recorded has not been read; nothing is said about it.
  • The transfer basis for data sent to the US is often stated only in contracts, so many values are «not found».
  • Suppliers that state no company form and company number on their own pages, and sole traders and partnerships, are excluded without being named, so some real suppliers are missing for that reason.

Who is included: A service that answers or handles incoming phone calls for dental practices with an AI voice that talks to the caller, with public product information, documented as offered to UK practices and holding conversations in English. A public source must show all three: the service answers phone calls (chat, text messages, online booking or call analytics alone is not enough); the vendor's own pages are aimed at dental practices (or health clinics with dentistry named) or document an integration with a practice management system in the UK guide; and the offer applies to UK practices (a page aimed at the UK, a UK company, prices in GBP, UK phone numbers or documented UK use), with English conversations stated by the source. Phone systems for practices (VoIP) are included only with a documented AI voice feature that answers calls. White-label services are one entry, with roles only where the sources document them. A service presented through one named person is treated as identifying that person and excluded in the same way. Not included: call answering by people without AI, chatbots on the website, tools that only do online booking, reminders, call analytics or transcription of clinical consultations, general voice bots with no offer to dental practices, and voice AI platforms not sold ready set up.

Searched:

  • Public partner, integration and app marketplace pages of the practice management systems and booking tools in the UK guide (supplier source)
  • British Dental Association and UK trade press (names to check only; never a source) (industry source)
  • Web searches in British English, for example «ai receptionist for dentists», «dental ai receptionist» and «dental phone systems uk» (only to find candidates, never as a source) (discovery only)

  • Candidates' own public pages: company form and company number first (footer, terms or privacy page), then product, pricing, terms, privacy policy, security page, sub-processor list and help pages (never about, team or contact pages) (supplier source)

Known gaps

  • There is no public list of AI phone services for UK dental practices.
  • No official source on call recording, telling callers they are speaking to AI, PECR for outbound calls or the UK GDPR for such services has been fetched; call recording, its handling, outbound contact and data location show only what the vendor states.
  • Integration with a named practice management system is usually only the service's own claim.
  • No test calls were made and no vendor was contacted; voice quality and real call handling are not assessed.
  • The category is new and changes fast; many services publish no price.
  • Call answering by people and phone systems without AI are outside the frame in this version.
  • Many small AI vendors are excluded under the companies-only rule, so small start-ups are deliberately less well covered.

Who is included: Accounting: systems with a documented integration with at least one practice management system in the UK guide, or with public material aimed at dental practices or dentists. Payments: solutions for patient payments documented as offered to UK dental practices (own pages for dentistry, or integration with UK practice software). Patient finance offered to practices is included under payments when the provider documents its offer to dental practices; patients' credit terms are never recorded. The UK offer must show UK conditions: Making Tax Digital, UK VAT, GBP, UK payment methods, a UK company or documented UK use. Not included: general accounting systems with neither a documented practice software integration nor dental material, accountants and «dental accountants» (services, not systems), debt collection alone, NHS claims as part of practice software (see practice management software), patient membership and capitation plans as such (outside this version), and solutions with no UK offer.

Searched:

Known gaps

  • There is no public list of accounting or payment solutions for UK dental practices.
  • HMRC's software list for Making Tax Digital for Income Tax and the FCA register are not yet official source rows; Making Tax Digital for Income Tax and FCA authorisation show the provider's own statement until they are added.
  • Search data show high interest in patient finance and membership plans, but most results are aimed at patients; many practice-facing pages may lack public terms.
  • Patient membership and capitation plans are kept out until a decision is made.
  • Suppliers that state no company form and company number on their own pages, and sole traders and partnerships, are excluded without being named, so some real suppliers are missing for that reason.
