Accounting and payments
The question this page answers Which accounting software and which payment solution fit a private or mixed NHS and private dental practice in the UK alongside its practice management software, and what should your practice find out before it chooses?
On this page
A dental practice needs two kinds of finance tools: accounting software for the books, VAT and tax, and a way for patients to pay, such as a card terminal, payment links, Direct Debit or patient finance for larger treatments. The most useful question for both is how they work with your practice management software, so that payments and invoices do not have to be keyed in twice.
This page compares the two separately, in one table each. Accounting software is compared on integration with UK practice management software, Making Tax Digital for VAT and for Income Tax, accounts for several sites or companies, data location, minimum term and support. Payment solutions are compared on integration, payment methods for patients, payouts to the practice, payment links, patient finance and whether the provider states it is FCA-authorised. The table shows each fact with its source and the date it was checked. Where a provider publishes nothing on a point, the table says so. Accountants and patient membership plans are not included. This is not an exhaustive list.

Who is included: Accounting: systems with a documented integration with at least one practice management system in the UK guide, or with public material aimed at dental practices or dentists. Payments: solutions for patient payments documented as offered to UK dental practices (own pages for dentistry, or integration with UK practice software). Patient finance offered to practices is included under payments when the provider documents its offer to dental practices; patients' credit terms are never recorded. The UK offer must show UK conditions: Making Tax Digital, UK VAT, GBP, UK payment methods, a UK company or documented UK use. Only companies are listed: limited companies (Ltd), PLCs, CICs and other companies, including foreign companies and their UK subsidiaries or branches, and LLPs with a neutral brand name. Sole traders (also when trading as a brand), ordinary and Scottish partnerships, limited partnerships, LLPs with a person's name and companies carrying a person's full name are excluded without being named. The company form and company number are read only from the supplier's own footer, terms or privacy page; a supplier that states neither there is excluded without being named, and no people are recorded for included companies. Not included: general accounting systems with neither a documented practice software integration nor dental material, accountants and «dental accountants» (services, not systems), debt collection alone, NHS claims as part of practice software (see practice management software), patient membership and capitation plans as such (outside this version), and solutions with no UK offer.

- Making Tax Digital for VAT. Whether the software is on HMRC’s list of compatible software, as the provider or HMRC states it.
- FCA-authorised. Whether a provider of patient finance states it is authorised by the Financial Conduct Authority. Patients’ credit terms are never shown.

- For payments: what does each transaction cost, are there monthly fees or terminal rental, and how long is the contract?
- How fast are payments paid out, and what happens with refunds and chargebacks?
